Primavera P6 Project Portfolio Timeline

Learn how to build a project portfolio timeline using multiple projects from Primavera P6.

If you don't already have OnePager, click the button above to download a free trial. Then, follow these instructions to get started with your timeline:

  1. We'll start with a portfolio of projects in Primavera P6. In this example, we have four mining projects, each with standard phases of Feasibility, Planning and Execution:

    OnePager can import the individual activities from each project, or can import the summary activities from the WBS for a higher-level portfolio timeline.

  2. Next, we will export the P6 portfolio to either XML or XER format. Go to File > Export and follow the prompts to export the project:

  3. Both XML and XER formats support multiple projects in a single file. Just make sure that you select all of the projects from your portfolio before exporting:

  4. With your Primavera P6 portfolio exported, go to your desktop or Windows Start menu, and launch OnePager:

  5. When the OnePager start screen appears, click on New to start building a new portfolio timeline from Primavera P6:

  6. When the import wizard appears, choose Select > BROWSE Primavera P6 Files, and select the XML or XER file that contains your Primavera P6 portfolio:

  7. The import wizard will confirm the portfolio from Primavera P6 that you are about to import. We also want to select OnePager's template that is specifically-designed to create portfolio timelines from P6. To do this, go to Change > BROWSE and select the template called Multi-Project Ribbon Chart for Primavera:

  8. OnePager gives you the ability to filter your portfolio so that only certain activities or WBS summaries appear in your timeline. In this example, we'll choose to Select tasks by custom filter and then create a filter that only brings in objects that are at Outline Level 1, which corresponds to the phases in the WBS back in Primavera P6:

    Other filtering options include using a user-defined field or a global activity code to select individual activities, or to filter for only WBS summaries.

  9. Click on Create new chart, and OnePager will import the information from your Primavera P6 portfolio, initially giving you a timeline that looks like this:

    Here, each project from Primavera P6 gets its own swimlane, and the summary tasks for each project are lined up from left to right in a single row.

  10. Because each project in the Primavera P6 portfolio has the same phases, we can tell OnePager to assign the same color to the same phase when it appears in multiple projects. To do this, go to Home > Chart Properties > Task Bars and change the color-coding to look at the Activity Name:

  11. Click OK and OnePager will apply color-coding so that any phase with the same name gets the same color across the entire Primavera P6 portfolio:

    Here, the Feasibility phase is red, the Planning phase is green, and the Execution phase is blue.
