Smartsheet Milestone Timeline

Create a timeline of Smartsheet milestones using OnePager

If you manage projects in Smartsheet, you know that sometimes you just need a high-level timeline of key milestones, since your management team doesn't want to see all of the details that you're tracking in Smartsheet. OnePager can import key milestones from Smartsheet and create a timeline that you can easily share in PowerPoint or PDF.

To get started, download a free trial of OnePager and then follow these steps:

  1. In this example Smartsheet project, we have four phases, each with multiple milestones. We'll import the milestones into the timeline, so that all milestones from a certain parent row end up on the same timeline:

  2. To select only the the key milestones in Smartsheet, we can use a checkbox field. Right-click on any existing Smartsheet column, and choose Insert Column Left. Name the checkbox field OnePager:

  3. Now, use the OnePager column to check all of the key milestones that you want to include in your timeline. Save your Smartsheet project once you are finished selecting milestones:

  4. Launch OnePager using the desktop icon:

  5. On the OnePager start screen, click New:

  6. On the import wizard, choose Select > BROWSE Smartsheet:

    If this is your first time connecting OnePager to Smartsheet, Smartsheet will ask you for your username and password, and whether you want to allow OnePager to have read-only access to your Smartsheet project for the purposes of building your timeline.

  7. Select your Smartsheet project and click OK:

  8. OnePager has a template that is specifically designed for milestone timelines from Smartsheet. To use it, go to Change > BROWSE FILES and select the Birds on a Wire Chart for Smartsheet template that comes with the trial license.

  9. Give your timeline a name, and select the OnePager checkbox field as your filter. Then, click Next, followed by Create New Chart:

  10. OnePager will import your selected milestones from Smartsheet, and will align all milestones that share the same parent row into a single row on your timeline:

  11. If you'd like to add a splash of color to your timeline, you can tell OnePager to assign a different color to each phase of your project. To do this, go to Home > Chart Properties > Milestones and change the Foreground Color to look at the Level 1 Summary Name, which corresponds to the phase names that we have in our parent rows back in Smartsheet:

  12. After you click OK, OnePager will reapply colors to your chart so that each phase from Smartsheet gets a unique color:
