Primavera P6 Multi-Project Gantt chart

Combine several Primavera P6 projects into a OnePager Gantt chart.

OnePager builds Gantt charts using multiple project schedules from Primavera P6, like this:

After you have downloaded a free trial of OnePager, you can get started using one of the following sets of instructions:

1. Direct import of Primavera P6 data (XML/XER format)
2. Import of Primavera P6 data through Excel

Direct Method

OnePager has the ability to directly import data from Primavera P6 in either XML or XER format. Here's how:

  1. Start by opening several project plans in Primavera P6:

Multiple projects open in Primavera P6

  2. If you only want to show certain P6 activities in your Gantt chart, you can add a user defined field called OnePager and place a Yes next to any tasks that you want to include:

Filter activities in Primavera P6 before creating a Gantt chart.

To add a user-defined field to Primavera P6, go to Enterprise > User Defined Fields and click the Add button to add a new user-defined field called OnePager.

  3. With your activities selected, it's time to export your P6 schedule to either XML or XER format, both of which can be imported by OnePager. Go to File > Export and follow the prompts to export both projects:

Export multiple Primavera P6 projects to an XML or XER file.

You can choose to export each project to its own XML or XER file, or create a consolidated export that contains all projects in a single file. In this example, we'll export each project to its own separate file.

  4. Next, go to your desktop or Windows Start menu, and launch OnePager:

    Launch OnePager from your desktop.

  5. When the OnePager start screen appears, click on New to start building a new multi-project Gantt chart from Primavera P6:

    OnePager start screen.

  6. When the import wizard appears, choose Select > BROWSE Primavera P6 Files:

Browse Primavera P6 XML or XER projects for import into OnePager.

  7. If you exported all of your projects to a single file in step #3, select that file. If you exported each project separately, select the first file, then click Add/Remove to get to the Data Selection Screen where you can click the Add button to import the remaining Primavera P6 files:

Import multiple Primavera P6 XML or XER files into OnePager.

Here, we initially selected Project A.xml, and then added Project B.xml. Once you have all of your projects loaded, click OK.

  8. The import wizard will confirm which file(s) from Primavera P6 that you are about to import. If you set up a user-defined field in step #2, select it as your import filter:

Filter your Primavera P6 Gantt Chart using a user-defined field.

  9. Click Create New Chart, and OnePager will import the selected activities from each of your Primavera P6 files, and create a multi-project Gantt chart that looks something like this:

From here, you can customize swimlanes, shapes, colors, and virtually every other formatting element in the chart before saving it to PDF or PowerPoint to share with the rest of your project team.

Excel Method

OnePager Express uses an Excel export of multiple Primavera P6 projects to create your Gantt chart. Here are the steps:

  1. Start in Primavera P6, where you have multiple project schedules. In this example, we will use Project A and Project B:
    Multiple projects in Primavera P6
  2. Next, export your Primavera P6 projects to Excel. To do this, navigate to File > Export and pick the Spreadsheet - (XLSX) option. Click Next.
  3. For your Export Type, choose Activities and click Next. Select both Project A and Project B for export and then hit Next once more:
Export multiple projects from Primavera P6
  4. If you've already built an Excel export template in P6 for something else, you can use that. If you don't have an Excel template yet, you can set up a custom one for OnePager. Your Gantt chart will look best if you include these fields from P6::
Export fields from P6 into Excel for use with OnePager.
  5. Finish the export to Excel from Primavera. Each project plan from Primavera P6 will create a separate Excel file.
  6. RECOMMENDATION: When Primavera P6 exports schedules to Excel, it creates two sets of column headers. The second row is more user-friendly. You can use either header, but we recommend removing the first row so that the user-friendly names move to the top row. Make sure to do this for BOTH Excel files:
Delete the first row from your P6 export.
  7. Double-click the OnePager Express icon on your desktop to start building your multi-project Gantt chart:

  8. On the start screen, hit NEW to create a new multi-project Gantt chart:

  9. On the next screen, click Select and then Browse Files to pick up your exports from Primavera P6.
Browse to the folder that contains your P6 exports.
  10. Pick your first project schedule, then click Add/Remove to attach the rest of them. Once all of your projects are shown, click OK
Import multiple Primavera P6 exports into OnePager.
  11. Name your Gantt chart, select one of OnePager's multi-project templates, and then click Next:
    Use a multi-project template
  12. Double-check to make sure that OnePager has chosen the correct fields from P6 to use in your Gantt chart. Make any necessary changes, and then click on Create new Project View to build the report.
Map Primavera P6 fields into a OnePager Gantt chart.
  13. OnePager will import both of your Primavera P6 schedules and create an initial Gantt chart. We'll want to make a few customizations to get it to look the way we want.
  14. To group and sort your Gantt chart into swimlanes by project name, go to Home > Project View Properties > Rows/Swimlanes and change your swimlane settings to group by the "Project Name" field from Primavera P6:
Group your Gantt chart into swimlanes based on Project Name from Primavera P6.
  15. This will give you a project-by-project Gantt chart, which is what we need:
Primavera P6 Gantt chart with multiple projects.

After building your draft Gantt chart, you can fine-tune the formatting, including color, layout, time units, and a lot more. You can even insert additional project schedules from Primavera P6 if you need to expand your Gantt chart to include more projects than you originally used.
